Setup

· Receive signed P&S Agreement.
· Set up new deal in the TC database, TC web site, and the online Customer Dashboard.
· Verify all contingency due dates, Mutual acceptance date, etc.
· Call agent if anything missing (i.e. Form 17, etc.).
· Prepare commission disbursement forms and send them to the appropriate parties.

Processing

· Order Title (or verify title has been ordered) and have copies sent to all parties.
· Fax set up to escrow: commission disbursement and copy of P&S agreement.
· Send letter, coversheet and copy of P&S agreement to seller.
· Send letter to Selling Agent with Transaction Summary Report.
· Email digital copy of the Transaction Summary Report and the commission disbursement form to Client (Listing Agent).
· Verify with Lender that the Buyer has made loan application, and request copy of the Buyer’s pre-qualification letter. Store letter digitally in file.
· If there is an Earnest Money note due, note due-date and task to get copy of check from selling agent
· Change the listing status in NWMLS to STI.

Key Date Tracking

TC reminds Agents via phone call and/or email the day before contingency due dates. Contingencies tracked for Agent include:

· Inspection Contingency. Change the listing record in NWMLS to pending or Contingent.
· Finance Contingency. Check with lender that all is well and, upon request, call Selling Agent to fax us a removal for the contingency.
· Form 17.
· House Sale Contingency.
· Resale Certificate.
· Sale Pending Expiration.
· Appraisal Call to Lender.

Relationship Management and Intra-Party Communications

Your TC will help you maintain communication with the other parties involved in the transaction.

Letters Sent of Behalf of Agent – on the Agent’s letterhead (provided by Agent).

· Utility letter to Seller with moving packet, including change-of-address kit.
· Closing Letter to Seller, thanking them.

Communication with Lender

· Check in periodically with Lender to make sure file is going smoothly.
· Regarding appraisal, request copy for digital storage and review. Track any work orders.
· Request estimated arrival date of Loan Docs to Escrow.

Communication with Escrow

· Call to verify status of Loan Docs and signing appointments
· Request advance copy of settlement statement for Agent, email to Agent upon receipt.
· Call escrow day of closing to make sure recording and funding occurred with no problems.

Other duties

· Check with Agent if Buyers to do a walk thru.
· Fax all additional addenda to Escrow and Listing Office Manager throughout transaction.
· Make sure Title and CC & R’s are received.
· Order sign down (upon request by Agent).
· Change status in NWMLS to Sold.
